31 May 2006 Compliance Archiving & Storage Appliance Helps Tyler Independent School District C2C today announced that in partnership with Houston based VAR, Messaging Solutions, and storage vendor PowerFile, C2C’s Archive One Compliance solution coupled with PowerFile’s Permanent Storage Appliance helped Tyler Independent School District (TISD), the largest school district in northeast Texas, to expedite their compliance with the Public Information Act, the law guaranteeing citizens access to public records kept by government agencies. When TISD was advised by the district’s legal counsel that an efficient archiving system was needed for compliance with the Public Information Act, the Tyler IT team researched prospective solutions. After researching several vendors, the Tyler IT team identified C2C as the only company to offer the complete solution that would meet their requirements. The proposed solution was based on C2C’s Archive One Compliance product set, combined with PowerFile’s network-attached Permanent Storage Appliance. Providing a fully operational solution across 2,500 mailboxes throughout the entire school district, TISD’s solution was implemented within two weeks from the initial meeting with C2C. Commenting on the installation, John Orbaugh, Director of Technology Services at Tyler Independent School District said “I was truly impressed at the timescale in which the solution was implemented; the workload on us was minimal.” Archive One Compliance extracts a copy of every email sent through the TISD system and writes it to PowerFile’s Permanent Storage Appliance cache server, ensuring that all emails will be stored and indexed within the application. A structured permission-based management system enables authorized administrators to quickly search the mail archive in response to requests for message retrieval. The stored data also has an extra layer of protection, since the Permanent Storage Appliance from PowerFile stores the email on unalterable media making them tamper-proof. While the lifespan is initially set for permanent retention, the setting can be easily changed so that TISD can delete email data when allowed by law. TISD now benefits from a robust solution for compliance; as email is stored, it is indexed within the application, and a structured permission based management system allows privileged administrators to quickly search the mail archive when they receive requests for message retrieval. Additional features, such as the tamper-proof storing of data records, provide extra layers of protection for the user. “We are now compliant with the Public Information Act,” said John Orbaugh. “The new archiving solution has placed our district in a favorable position, where we are protected from a potential accusation of not providing all information requested. We can also show that our email records are in a tamper-proof storage system and that we can easily search and retrieve them. In addition, our district has an archiving solution that can grow as our storage needs increase over the years.” Elaborating on Orbaugh’s comments, Dave Hunt CEO of C2C Systems added “Archive One will allow Tyler ISD to retain and access its email data to meet present technology demands; in the future they will be able to use the other features offered by the solution to better manage high volumes of email, without compromising the all-important accessibility to the user.”
