The life cycle of an e-mail spans from the moment it is
first created, to the time when its last instance is permanently deleted
from all electronic systems. This can range from a few seconds, to months
or even years.
Factors that determine the life span of an e-mail include the end-users
attitude toward mailbox cleaning and filing, corporate ePolicy rules and
regulatory compliance. During its life cycle, each e-mail will have an
impact on the messaging system infrastructure, as well as be subject to
legal, regulatory or corporate policies.
During the life cycle of an e-mail, the professional messaging system administrator/manager
needs to
- Minimize the impact of each and every e-mail on the messaging system,
to provide optimum system performance for all users.
- Ensure each e-mail can be searched should judicial/corporate requirements
dictate.
- Ensure each e-mail can be stored/recovered for legal/regulatory requirements.
- Monitor system security so e-mail is safe from prying eyes.
- Maintain fast access to all e-mail, for both networked and remote
users.
Two distinct strategies are required to address these needs.
